Start with a written specification rather than a general request for a price. State the governing standard and grade, the dimensions with tolerances, the quantity, the surface or coating requirement, the packing method, the destination port and the documents you need to receive. A clear inquiry produces a quotation you can compare; a vague one invites assumptions that turn into disputes later.

Before commercial terms, establish who you are dealing with. Check the company registration, ask whether the business operates its own mill or trades on behalf of mills, and request a live video tour of production and warehousing instead of a brochure. Ask for a mill test certificate from a recent shipment and confirm that it traces to a heat number, and make sure you have a technical contact who can answer specification questions directly.

Payment structure should follow the order milestones. A deposit with the balance against shipping documents is common practice, while a letter of credit or an escrow service is a reasonable safeguard on larger contracts where both sides want protection. Whatever the arrangement, put the weight basis, the permitted tolerance and the claims process in the contract, and agree in advance which evidence a quality claim requires, such as photographs, a third party inspection report or a retained sample.

Once the order is running, communication discipline matters more than speed. Name one contact on each side, agree how often updates arrive and in what form, and ask for evidence at each stage: progress photographs during production, loading photographs with the container number, and document copies before the originals are dispatched.
